Early Bird Terms and Conditions


Early bird rates are available until August 14, 2009, 5:00 p.m. Pacific Standard Time. The hotel of booking will charge the provided credit card a deposit of one night's room and tax. Early bird rates and deposits are non-transferable, non-refundable and non-changeable after August 14, 2009. Should any changes to the reservation occur after August 14, 2009 standard conference rates will apply.

Early Bird Cancellation Policy

If the hotel reservation is cancelled outside of 72 hours of arrival, one night's room and tax will be forfeited. If the hotel reservation is cancelled within 72 hours, the cost of the entire stay (room and tax) will be charged by the hotel of booking to the provided credit card.

Q:        How long will early bird hotel rates be available to book?

A:        Early bird hotel rates based on hotel availability are available until August 14, 2009, 5:00 p.m. Pacific Standard Time.

Q:        If needed, can I make changes to my reservation?

A:        Based on hotel availability, changes without penalty can be made to your hotel reservation until August 14, 2009, 5:00 p.m. Pacific Standard Time. After August 14, 2009, no changes without penalty or rate difference will be allowed. Just visit My Reg to make any edits to your hotel.

Q:        What if I need to add nights to my existing hotel reservation after August 14, 2009?

A:        Based on hotel availability, standard conference rates will apply to any additional nights needed after August 14, 2009, 5:00 p.m. Pacific Standard Time.

Q:        If I book the early bird hotel rate, will the provided credit card be charged before my arrival?

A:        Yes, a non-refundable deposit equal to one night's room and tax will be charged by the hotel approximately one week after August 14, 2009 to the provided credit card.

Q:        What if the provided credit card is declined when the hotel processes my reservation?

A:        Unfortunately, the hotel will not be able to process your reservation without a deposit equal to one night's room and tax. Your reservation at the early bird rate will be canceled by the hotel and Oracle OpenWorld 2009 Housing will rebook your hotel reservation at the standard conference rate.

Q:        If I needed to cancel my hotel reservation, is the cancellation policy different than if I had booked the conference rate?

A:        Yes. After August 14, 2009, if you cancel your reservation at the early bird rate outside of 72 hours of arrival, your non-refundable deposit equal to one night's room and tax will be forfeited. If you cancel your reservation within 72 hours of arrival, a non-refundable penalty equal to the cost of your entire hotel stay (room rate and applicable taxes) will be charged to the provided credit card.

Q:        If I decide to cancel my reservation at the early bird rate and re-book my reservation at the standard conference rate of the same hotel, will I still be penalized?

A:        No, you will not be penalized. You may change your reservation to the standard conference rate at the same hotel only. Your non-refundable deposit will be applied to your current reservation.

Q:        If I decide to cancel my reservation at the early bird rate and re-book my reservation at the standard conference rate of a different hotel, will I still be penalized?

A:        Yes. After August 14, 2009, if the hotel reservation is cancelled at the early bird rate and re-booked at the standard conference rate of a different hotel, the early bird cancellation policy will apply.


Exhibitor Housing

Q:        How do I request a room block?

A:        Exhibitors are eligible to request room blocks through Oracle OpenWorld 2009 Exhibitor Registration and Housing. Please go to the Exhibitor Workspace for instructions on how to request a room block

Q:        My hotel booking code is not working when I enter it in the appropriate field. How do I fix this?

A:        Please go back and check to see if you entered in the correct hotel booking code. If your hotel booking code is still not working, please contact the Oracle OpenWorld Exhibitor Manager to walk you through the process.

Q:        If I have not returned my hotel room block contract back to Oracle OpenWorld 2009 Exhibitor Registration and Housing, will my hotel booking code still work?

A:        No, your hotel booking code will not be activated until your hotel room block contract is signed and returned back to Oracle OpenWorld 2009 Exhibitor Registration and Housing at: OpenWorldExhibitor@eventreg.com.

Q:        When is the last day to submit reservations using the hotel booking code?

A:        Room reservations must be submitted on-line no later than September 2, 2009. After September 2, 2009 any unused rooms will be released.

Q:        Instead of submitting my reservations on-line, can I send a rooming list?

A:        No. To ensure accuracy of your room reservations, please DO NOT send rooming lists. However, please go on-line to register your staff and use the hotel booking code located in your hotel room block contract.

 


General Housing Questions


Q:        How can I add a hotel reservation to my registration or make changes to my existing hotel reservation?

A:        If you have already registered for Oracle OpenWorld 2009, but have not yet made your hotel reservations or would like to make changes to your existing hotel reservation, you may do so at My Reg. Be sure to have your username and password or Registration ID. You may also contact Oracle OpenWorld 2009 Housing at 1.866.382.7147 (U.S. and Canada) or +1.650.226.0812 (International) or via e-mail at OpenWorld_Housing@eventreg.com for assistance.

Q:        When is the last date Oracle OpenWorld 2009 Housing guarantees rooms at discounted rates?

A:        Oracle OpenWorld 2009 Housing will provide rooms at a discounted rate based on hotel availability until September 23, 2009. After this date, rates will be determined by the hotel.

Q:        If I have to cancel my reservation, what is the cancellation policy?

A:        If you have booked your reservation at the standard conference rate, cancellations must be made no less than 72 hours prior to arrival. Failure to do so will incur a penalty equal to one night's room and tax.

Q:        What if I do not check-in on my scheduled arrival date?

A:        If you do not arrive on your scheduled arrival date, the hotel will cancel your entire reservation and can opt not to reinstate your reservation even if you arrive the next day. You will also be charged the penalty of one night's room and tax regardless if the hotel opts to reinstate your reservation or not.

Q:        If I am not ready to register for Oracle OpenWorld 2009, but would like to book my hotel, can I do so?

A:        Unfortunately, to take advantage of Oracle's discounted room rates, you must be registered for Oracle OpenWorld 2009.

Q:        Can I make a hotel reservation through Oracle OpenWorld 2009 Housing without a credit card to guarantee my reservation?

A:        No, all hotel reservations must be guaranteed with a credit card.

Q:        Can I use the same credit card I provided as a guarantee as payment to the hotel at check-in?

A:        Yes, however if the card used as a guarantee for your hotel reservation is not in your name, the cardholder must be present at check-in or a faxed credit card authorization form must be set-up with the hotel prior to your arrival.

Q:        Can I contact the hotel directly to make a hotel reservation or changes to my existing reservation at Oracle's discounted rates?

A:        To obtain Oracle's discounted rates, new reservations and changes must be made through Oracle OpenWorld 2009 Housing.

Q:        Once I book my hotel reservation through Oracle OpenWorld 2009 Housing, do I receive a hotel confirmation number?

A:        All hotel reservations made through Oracle OpenWorld 2009 are confirmed with your unique reference ID. If you would like to obtain a hotel confirmation number, please contact the hotel of booking approximately two weeks prior to the event.

Q:        How can I find out where my hotel is located?

A:        To find the location of your hotel, please view our Interactive Hotel Map.

Q:        Where do I find shuttle route information to get to and from my hotel and the Moscone Convention Center?

A:        Please check back in May at www.oracle.com/us/openworld to view the shuttle schedule.

Q:        If I enter special requests on my hotel reservation are they guaranteed?

A:        Although hotels do their best at accommodating all special requests, they are not guaranteed.

Please note: Non-smoking rooms are guaranteed at 100% smoke-free hotels.

 


Government Rate Terms and Conditions


Hotel reservations booked at the government rate through Oracle OpenWorld 2009 Housing must present proper U.S. or Canadian government ID at hotel check-in. It is at the hotel's discretion to change your rate to the standard conference rate should the hotel decide proper identification is not present. Please note that only U.S. and Canadian government employees are eligible for the HOTEL government rate.

The current government per diem for the city of San Francisco is US$185 and US$123 at select San Francisco Airport hotels. These rates are determined by the city of San Francisco and are subject to change on October 1, 2009.

Q:        Are government rates available at every conference hotel?

A:        No. Only select hotels offer discounted rooms at the government rate. Please enter the hotel booking code GOVRATE9 in the appropriate field to check availability for discounted rooms at the government rate.

Q:        If the government rate sells out, what are my options?

A:        If rooms at the government rate sell out, you may check availability for rooms at the standard conference rate. Some of our standard conference rates are lower than the government per diem!

Q:        What is the cancellation policy for rooms booked at the government rate?

A:        Cancellations must be made no less than 72 hours prior to arrival. Failure to do so will incur a penalty equal to one night's room and tax.

Q:        What if when I check-in, the hotel does not have my reservation booked at the government rate?

A:        If you have been confirmed at the government rate by Oracle OpenWorld 2009 Housing and the hotel has booked your reservation at the standard conference rate, please call our Housing Desk at 1.866.382.7147 or come see us at our Housing Desk in South Hall of the Moscone Center for assistance. Please do not check-out of your hotel until we have helped you resolve this issue.
